Example Scenario
Imagine you conduct inspections of premises (such as apartments, furniture, vehicles, etc.) before each rental. At the end of the lease, you check whether the condition of the property has changed. You want to compare the current condition with the original state (from a year ago) to note any defects easily.
With Kizeo Forms, you can retrieve all your forms directly from your mobile device using the Search function.
Note: Your data is stored locally on your mobile device for two months, allowing offline access. After two months, you can still use the “Search” function in your history to find any saved form on the server, but you must be connected to the Internet.
Step 1: Set Your Options in the Back-Office
By default, a user cannot:
- Change the data that has been entered
- Access the history of other users
- Edit the data entered by other users
To change these settings:
- Go to the Options of your form (Configuration -> Creating or Modifying a form).
- Under the Mobile tab:
- Select the checkbox 'Enable editing of the form after its data entry' to allow editing and modifying data of completed and saved forms.
- Select the checkbox 'Allow all users to view the history' to enable any account user to view all forms, including those of other users.
- Select the checkbox 'Authorize all users to modify other users' information' to permit any user to modify forms completed by other users
Step 2: Search Your Data from Your Mobile Device
This function is available on both iOS and Android.

To search for a form:
- Open the Kizeo Forms application on your mobile device.
- Tap on data, sent
- In the search bar, enter a keyword or specific data that is present in the form you want to find. For example, if you search for “Kizeo,” the app will display forms containing that keyword.
- Tap on the displayed form to see options: preview, copy, or modify the completed form.
Tap on "unlock" to modify it.
After making changes, if you 'save' the form, the previous data will be overwritten. To keep the previous data but start from an existing entry, click 'Copy' instead of 'modify'.
Tap on the PDF icon to view the standard and custom PDF document.
